If one of your team members wishes to cancel
Should you or any member of your team be forced to cancel your booking, we must receive notice by email from the person making the original booking. The cancellation will take effect from the date that such notice is received. You are able to substitute a team member (see below) however if you are unable to find a substitute we reserve the right to fill the place from our waiting list of individual riders and treat your case as a normal cancellation subject to the following charges (the charges are expressed as a percentage of the total event price):
- More than 60 days prior to departure - Deposit only
- Between 30 and 59 days prior to departure - 60%
- Between 15 and 29 days prior to departure » 75%
- Between 8 and 14 days prior to departure » 90%
- 7 days or less prior to departure » 100%
If you fail to pay in full 60 days prior to departure, we reserve the right to cancel your booking and fill your place with a substitute from our waiting list. Your deposit will be forfeited and the charity retains the rights to retain any donations made.
If you wish to substitute a team member
If you wish to substitute a team member, you may do so by contacting us in writing providing full information about the new team member. The existing deposit and any other monies paid will be carried over. It will be the responsibility of the new team member to sort out finances with the retiring team member. Depending on the timing of the substitution, it may not be possible to change the sizing of the event clothing as this is custom ordered from our supplier.
Participation
All participants will be required to complete a pre event questionnaire, the aim of which is to gather useful information about you, the rider, and any special requirements we should be aware of (e.g. dietary). All participants must have a certain level of cycling experience and entry to the event is at the discretion of the Event Organisation. Entry may be refuse if it is deemed that a prospective participant has not met the minimum requirements of the event.
Fundraising
By signing up to the Rapha Bordeaux – Paris Challenge you are pledging to raising £2500 for Ambitious about Autism in addition to the event fee. Should you fail to raise that amount we reserve the right to request you to make up shortfall yourself. We also reserve the right to withdraw your place if 80% of the fundraising target (£2000) is not received 10 weeks before event (5 July 2013). The full sponsorship raised for Ambitious about Autism should be paid to the charity by the 5th September or proof of confirmed pledges for the full amount should be supplied.

Cancellation by Us
Should it be necessary to cancel the event, we reserve the right to do this for any reason up to 30 days prior to the departure date. In these circumstances, you will be entitled to receive a full refund of all monies paid. In the event that it is necessary to cancel the event Ambitious about Autism will not be liable for any flight costs incurred by the customer. For this reason, it is compulsory that a suitable comprehensive travel insurance policy be taken out.
Alterations to Itinerary
We will use our best endeavours to ensure that none of the event arrangements has to be altered. However, occasions may arise when we cannot follow our advertised itineraries, or cannot maintain our advertised schedules. Our itineraries are put forward as a statement of intention only, not as representations or undertakings that they will be carried out. If any additional expenses are incurred through delay, accident or disruptions of planned itineraries beyond our control, e.g. war, threat of war, riots, civil strike, terrorist activity, strikes, governmental action, natural disasters, fire, technical problems of transport, closure of ports or airports, cancellation or changes of schedule by scheduled airlines, or similar events beyond our control, such expenses are to be borne by the participant. Again, suitable comprehensive travel insurance is compulsory.
Additional Expenses
Any expenses incurred by a participant, over and above items included as part of the event should be settled in full at the time they are incurred. Any expenses not settled before the end of the event are payable on return home and may be subject to a £20 administration fee.
Passports, Visas and Health requirements
A valid passport is required to gain entry to France. If you need to apply for a new passport or for its renewal, make such application at least eight weeks before departure. Foreign nationals are advised to contact their local French embassy to check their visa requirements. At the time of publication (November 2012) no vaccinations are required for France. The Department of Health provides health advice for travellers and online application for an EHIC card giving citizens of member states reciprocal health benefits within the EU. Travel Insurance
Valid travel insurance is required for participation in the event, proof of which may be requested before being allowed to participate. It is recommended that the policy includes cancellation cover in the event or injury or illness as well as cancellation by the tour operator. Liability Waiver and Event Rules
You are required to have read, understood and signed a transfer of liability participation waiver prior to taking part in the event. The event will be run under a set of rules which will be circulated closer to the event. Every participant will be expected to adhere to these rules at all times. Failure to follow the rules may result in disqualification from the event. The verdict of the Event Director is final.
Complaints
If you have a complaint during the event, you must report it at the time to the event manager to enable it to be put right. If you feel the matter is serious, you should also notify our UK office by phone, email or fax.
